Be sure to obtain your tenants' consent
Communicating well with your tenants is a story that begins with the first contacts and is formalized when the lease is signed. Indeed, before sending certified e-mails, we would like to remind you that it is preferable to have received your recipient's consent authorizing you to use Pronotif for communications between you.
In addition, to properly and legally communicate with your tenant by certified e-mail, you'll need to obtain their e-mail address in Section A of the lease and get them to sign the Appendix to the lease, which contains the “Communications” clause.
If you didn't have the opportunity to add the communications clause when you signed the lease, you can use the Proof of Consent form at any time. And the good news is that sending this request is completely free of charge. Very practical, if you wish to communicate with a tenant who already has a lease, or if your tenant wishes to change his or her e-mail address for exchanges with you.
Configure your own letter templates
To save time, you can create up to six templates for each type of activity. In fact, if you regularly use the same content from one mailing to another, take advantage of this feature to avoid double-entry of content. You can create templates in French and English without any problem.

Put all the information in the e-mail
When sending an electronic notice, we recommend that you forward all attachments related to the notice, and that you communicate as much as possible via the Pronotif chat if the tenant wishes to communicate with you. All these elements will then be included in the proof report, which you can consult at any time.
In fact, the evidence report is an undeniable element in your follow-ups. In this report, you'll find the content of messages, transmitted attachments, communication exchanges with your tenant and thus all the statuses to show that the notification was correctly transmitted, opened, attachments downloaded and responses obtained by the person.
